As a member of our Buildings group, you will provide insight and innovative construction solutions to ensure the successful execution of various commercial projects, such as: education facilities; hospitals and healthcare centres; office buildings; warehouse and distribution centres; retail outlets and complexes; recreational facilities; hotels and casinos; parkades; and mixed- use facilities. You will also further hone your skills operating under various delivery methods including Bid-Build, Design-Build, P3 (Public-Private Partnership), Construction Management and IPD (Integrated Project Delivery).

About The Role

Reporting to the General Manager, the Senior Administrative Assistant provides administrative and clerical support, often acting as the first point of contact, and performs day-to-day tasks which help to streamline efficiencies of the management team. This includes booking meetings, answering phones and emails, attending to general queries, performing project-based work such as data entry and basic IT support, arranging catering, taking meeting minutes, and supporting the team with whatever is needed. The incumbent is also responsible for making travel arrangements for senior leaders and board members, tracking expenses, and reconciling reports.

This is a temporary, benefits-eligible role.

As a Senior Administrative Assistant at Graham you will:

  • Attend to the requirements and needs of the General Manager.
  • Source venues for various team and corporate functions and assist with event planning.
  • Prepare meeting agendas, organize meetings, and produce minutes.
  • Manage travel arrangements, and complete expenses and purchase card reconciliation.
  • Assist with forecasting as required.
  • Manage calendars, understanding the needs and preferences of the leader.
  • Provide switchboard and receptionist relief occasionally.
  • Coordinate upcoming meetings.
  • Ensure documents are accurate and in line with Graham’s brand standards.
  • Order corporate promotional materials and gifts in line with the Code of Business Conduct.
  • Act as first point of contact with venue staff and be on-site at venues for various events.
  • Anticipate and proactively address needs of internal clients.
  • Gather information to create PowerPoint presentations.
  • Develop presentations for Road to Zero and other types of meetings.
  • Track learning activities and courses for staff members.

To be Successful at Graham, you will have the following qualifications and experience:

  • Minimum high school diploma; Business school graduate is preferred.
  • 5-7 years of professional work experience in an administrative role.
  • Intermediate to advanced Microsoft Excel, Word and PowerPoint.
  • Experience with Bluebeam, SAP and Adobe Creative Suite is preferred.
  • Strong can-do attitude with a focus on customer service.
  • Professional and effective communication abilities and interpersonal skills.
  • Superior time-management skills and the ability to prioritize tasks.
  • Courteous, helpful, and professional demeanor.
  • Ability to work independently and without supervision.
  • Ability to meet deadlines and find proactive solutions.
  • Tenacity, initiative, and strong work ethic.
  • Discretionary and respects confidentially sensitive information.
