Relevant du gestionnaire des installations, la personne sélectionnée est responsable de la coordination des activités sur le site et de la tenue des dossiers divers. Responsabilités:

La personne sera responsable de :

  • Recevoir et gérer les appels téléphoniques ainsi que les correspondances, au besoin;
  • Répondre à toutes les demandes des utilisateurs du BAC de manière courtoise et professionnelle, en conformité avec les protocoles et les procédures;
  • Offrir un support administratif adéquat et variée à l’équipe locale
  • Fournir un soutien administratif à la gestion des contrats dans les installations, y compris le maintien de la conformité et la mise à jour des contrats des sous-traitants;
  • Compiler les données reçues de diverses sources et les organiser de façon appropriée;
  • Préparer les dossiers et les données nécessaires pour le système d’évaluation de rendement du GMAO;
  • Organiser et remplir les demandes d’achat au nom de l’équipe et s’occuper de la réception des biens, des dossiers de services et des factures à travers un portail interne web.
  • Aider le gestionnaire des installations à préparer les rapports et supporter lors de la préparation des comptes de dépenses
  • Aider le gestionnaire des installations à préparer et à coordonner les réunions et rédiger les procès-verbaux;
  • Gérer l’inventaire des fournitures de bureau;
  • Effectuer toute autre tâche administrative, au besoin.

Job Summary:

Reporting to the Facility Manager, the Facility Services Administrator is responsible for coordinating activities at this site and for financial record keeping and reporting as required. The candidate is also responsible for administrative support and office work and for providing the supporting data for performance monitoring reports and will assist the team in preparing Reports. This is a bilingual required position in English and French.

Responsibilities:

The selected individual will: * Receive, and manage phone calls and correspondences;

  • Respond to all requests from LAC users in a courteous and professional manner in accordance with protocols and procedures;
  • Support and assist administratively the local team
  • Provides administrative support to contract management in the facility including keeping sub-contractor contracts compliant and up to date;
  • Prepares files and data required for the performance monitoring system from the Computerized Maintenance Management System;
  • Keeps up to date the document library and all relevant records;
  • Provides administrative support to the assignment and completion of work orders and preventative maintenance tasks;
  • Organize and fill requests for purchasing on behalf of the facility team and handle the receipt of goods, service records and invoices using the online platform
  • Prepare expense reports
  • Help the Facility Manager to prepare and coordinate meeting and take minutes;
  • Manages office supply inventory.
  • Administer payroll for hourly employees
  • Support with the management of contractors prior and during their presence on site
  • Additional administrative duties as assigned.

Exigences :

  • Diplôme collégial en administration ou toute expérience équivalente
  • Expérience dans l’utilisation de tous les outils de la suite MS Office;
  • Bilinguisme requis (Français et Anglais)
  • Excellentes aptitudes à la communication, tant à l’oral qu’à l’écrit

  • College degree in Administration or equivalent work experience;
  • Experienced in the use of all tools in the MS Office suite;
  • Bilingual English and French;
