We are looking for a Coordinator, International Deployment Administration, a team player who will work in collaboration with the Senior Manager, Deployment Hub within International Operations (IO), and will be responsible for coordinating the administrative aspects of deployments with a focus on managing required documentation, coordinating travel, and communicating arrangements within the Deployment Hub team. You will work together in an interdisciplinary team to get qualified experts to the field to help alleviate human suffering in disasters.

As a Coordinator, International Deployment Administration you will:

  • Manage the administration of required deployment documentation including but not limited to: introduction letters, pending letters, deployment forms, waivers etc.
  • Facilitate visa process between personnel and third-party entities (embassies and/or visa companies)
  • Prepare deployment contracts, payroll documentation and Welcome Package for personnel onboarding, working with People Services Central to ensure appropriate hiring completed per deployment
  • Ensure reporting requirements are met through appropriate filing and monitoring of required documentation in the pre- and post-mission context
  • Establish and maintain regular mission closure meetings with relevant stakeholders
  • Administer online e-signing documentation process
  • Troubleshoot with People Services and PS Central all personnel inquiries in relation to processes regarding contracting, payroll and end of mission terminations and final payments
  • Manage oversight of the direct secondment deployment process, utilizing team resources as required
  • Coordinate domestic and international itineraries with third-party provider and field requirements, and share deployment arrangements with team and the field as necessary
  • Assist personnel with arrangements through introductions, set booking parameter specifics and maintain receipt tracking of confirmed itineraries
  • Update personnel tracking tools following standards and data management processes
  • Monitor Deployment Hub tools and processes, recommend creative solutions to persistent issues
  • Foster teamwork through a professional exchange of experiences and expertise that can be transferred to other areas of work. Ensure sharing and dissemination of services related materials to all concerned actors

What we are looking for:

  • A Bachelor’s degree in Business Administration/Human Resources and minimum 3 years’ experience in human resources or business administration, or equivalent combination of education and experience in a related field
  • Excellent demonstrated working experience in matrix environment
  • Experience with people management software a definite asset
  • Knowledge of the Red Cross Red Crescent Movement and the Canadian Red Cross Society’s international and domestic operations is a definite asset
  • Exceptional verbal and written communication and interpersonal skills in English. Working knowledge of French and/or additional languages would be a definite asset
  • Team-focused with an ability to be flexible, adaptable, inter-disciplinary and work in stressful, ambiguous, and evolving conditions is a must
  • Strong customer service, time management, planning and organizational skills is essential
  • Able to manage complex and competing priorities across different timelines with attention to detail
  • Able to deal with ambiguity and reprioritize tasks in response to unexpected changes in priorities/requests and effectively manage change in fast paced environment
