Job description: ROLE
The Finance Administrator is responsible for assisting Project Managers in various administrative tasks such as managing contracts, subcontracts, commercial, payroll in the field and supporting the Project Controls Team.
KEY RESPONSIBILITIES
- Provide administrative assistance to Project Managers, Project Leads as well as team members as required.
- Prepare spreadsheets and maintain databases and logs, as required by the project.
- Maintain project files and internal and external reporting requirements.
- Payroll assistance on a weekly basis
- Create (labour, equipment, materials) LEMs, (Request for Information) RFIs, Change Orders etc.
- Work closely with the commercial and project management as well as other functional teams as needed.
- Collaborating with the procurement team for sub-contract formation based on standard project terms and conditions including requirements insurance, bonds and milestone payments.
- Collaborate with the Commercial Manager for any commercial issues related to the client or subcontracts.
- Work with project controls to audit, complete and submit timesheets daily.
- Assist with monthly reporting, (i.e. accruals, cash forecasting, code and process accounts payables, etc.
- Assist with job costing analysis, as required.
- Prepare, and handle all administrative tasks including; but not limited to, filing, photocopying, faxing, preparing expense statement and archiving of files.
POSITION REQUIREMENTS
Qualifications
- College degree or diploma in a related field is considered an asset.
- Combination of education and relevant experience.
Experience
- Minimum 5 years of experience in as an administrator role preferably on a project construction site
- Finance experience
- Prime Contractor experience
- Construction Pipeline experience considered an asset
Skills and Knowledge
- Understanding of the pipeline construction industry preferred.
- Advanced knowledge of MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptionally well organized with an aptitude for data
- Accuracy and attention to detail
- Ability to work well in a fast-paced environment and meet tight deadlines
- Solid networking and interpersonal skills
WORKING CONDITIONS
This position is field based in Chetwynd, BC and works in a site office environment at project construction sites. Monday to Saturday, 12 hours per day. May require moving into Workforce Accommodations (Camp) to meet project requirements. Living out allowance will be provided if not in Workforce Accommodations.
REPORTING RELATIONSHIPS
The Finance Administrator reports to the Commercial Manager. The position has no supervisory duties.
