Job description: Andrew Sheret Limited is currently seeking a full-time Administration Assistant to support the commercial property department at our Victoria Head Office. With a substantial and growing commercial property portfolio, we require a highly organized individual with excellent communication skills to join our existing team. The successful applicant will be dedicated, personable, and eager to learn. This role will appeal to an applicant who thrives in a fast-paced work environment and who can handle competing timelines and matters of a highly confidential nature.

Administration Assistant Duties:

  • Promote positive relationships with tenants and other stakeholders through professional, responsive communication and follow-up
  • Manage a calendar of key property diarizations
  • Draft, distribute, and follow up on correspondence
  • Manage timelines (including distribution and return) of key documents
  • Attend to document management and filing
  • Maintain rent rolls including rent escalations
  • Source quotes for repairs and maintenance
  • Ensure monthly service contracts are being completed in a timely and professional manner
  • Review accounts payable invoices
  • Assist with various property-specific tasks such as parking assignment, building access FOBS etc.

Essential Skills & Experience:

  • Highly organized with a keen attention to detail
  • Able to prioritize and balance workload with competing time demands
  • Experience in working on matters of a highly confidential nature
  • Strong verbal and written communication skills, including proofreading
  • Technology/computer literate, with proficiency in Excel and Word
  • Possess a high level of integrity and dependability

Desirable Skills & Experience:

  • Previous commercial property management, project management, or equivalent experience
  • Previous administrative and document-management experience
  • A good understanding of construction process and practices

$17.50-$22.00/hour based on experience.
