WHAT’S THE BIG IDEA?
As our Administration and Investor Relations Manager, you will be responsible for managing the Mortgage Administration department and overseeing all of the activity and function performed by the Mortgage Administrators. You will also develop, implement, follow and maintain process in relation to Company compliance with securities regulations and investor relations. You will assist our dealing representatives managing investor relationships, including documentation related to new accounts, dividends, r purchases, and redemptions. You are a team player, with the ability to lead teams successfully without breaking a sweat.

HOW DO YOU FIT IN?
The successful individual will have the following experience, education and demonstrated skills:
- A minimum of 5 years of industry experience
- Post-secondary education diploma, degree or equivalent from an accredited college or university.
- Strong communication and coaching skills
- Strong organizational skills with the ability to adapt to shifting priorities, demands and timelines to effectively prioritize and execute tasks in a time sensitive environment.
- Ability to troubleshoot and problem-solve.
- High degree of analytical and critical analysis skills
- A team oriented, positive and collaborative approach with strong work ethic to fit in with the existing team.
- Ability to work well under pressure and maintain composure in a fast paced and changing environment.
WHAT YOU WILL BE DOING
45% – Mortgage Administration
- Oversee all Mortgage Administrative activities and functions performed by the Mortgage Administrators including but not limited to:
- Mortgage Administration
- Trust Condition Fulfilment
- Insurance Management process
- Renewal Management process
- Third Party Mortgage Management
- Coordinate and/or oversee the development and implementation of new policies and procedures
- Coordinate and/or oversee the updating of existing policies and procedures
- Liaise with the Underwriting and Accounting departments to ensure the Mortgage Administration department contributes to smooth workflow between departments
- Oversee distribution of workflow to Mortgage Administrators to ensure the team is able to meet the timing requirements of the mortgage transaction completion
- Troubleshoot on outlier transaction items as it relates to the mortgage administration processes or systems and the overlap to accounting
- Oversee the reception role
- Oversee reporting to underwriters and management as required
- Provide input into internal controls as it relates to overlap between administration and accounting
30% – Investor Relations
- Manage the administrative onboarding process for new investors
- Document creation, distribution and processing for investors, including: product subscription agreements, Know your clients documents etc.
- Manage investment purchase closings
- Manage investment redemptions
- Manage investor portal/software
- Coordinate and/or oversee the development and implementation of new policies and procedures
- Coordinate and/or oversee the updating of existing policies and procedures
- Develop, implement, manage, and maintain internal controls related to investors relations
- Issue Trade Confirmations for investment purchases
- Manage shareholder communications, including quarterly and performance statements and distribution of notices and documents
- Assist in reviewing Account opening documents
- Assist accounting in the production and/or reporting of the annual dividend process
- Assist accounting in the production and/or distribution of annual T5 slips
10% – Compliance
- Comply with regulations including but not limited to Real Estate Act, Privacy Act, Securities Act, Business Corporations Act, Fair Trading Act, etc
- File F1s related to investment purchases
- Contribute to the management of industry regulatory requirements
- Develop, implement, manage and maintain internal controls related to investor relations
- Have working knowledge of the Securities regulations and the integration of same with Calvert Home Mortgage’s internal compliance policy manual
- Ensure compliance with the Proceeds of Crime (Money Laundering and terrorist Financing Act)
- Assist in managing and updating the Compliance manual
- Complete CSA Monthly Suppression of Terrorism and Canadian Sanctions Report monthly report
- Maintain up to date working knowledge of the securities regulations and the integration of same with CHMIC’s internal compliance policy manual
- Analyze and evaluate risk management on a daily/weekly/monthly/yearly basis
- Develop, implement, manage and maintain internal controls related to investor relations and compliance
10% – Talent Management
- Training and evaluating staff in relation to administrative functions of the business
- Coach/develop/mentor administrative team
- Conduct regular one to one meetings with team members
- Development and succession plans for direct reports
- Personal development of team members
- Coordinate and oversee the training and development of new hires
- Coordinate and oversee the cross-training within the mortgage administration team
- Scheduling of Mortgage Administration and Reception position vacation/time off
- Perform annual performance reviews with team members
- Performance management duties when necessary
5% – General Administrative Activities
- Collaborate with management team, peers and all departments
- Coordinate group activity
- Maintain a procedure manual of your duties to assist in succession planning
