Job description: Overview

Provide administrative support to the GMA RMX team with the administrative duties of the plants by bringing rigor and organization to departmental activities. Support the Purchasing & Accounts Payable Department activities. Manage employee benefits, liaise daily with employee issues.

Responsibilities

Safety:

  • Follows and ensures full compliance with Health & Safety policies and procedures.
  • Ensures all contracts and project site meet the Lafarge safety policy requirements for our employee’s safety.

Finance:

  • Perform Accounts payable duties as required. Create requisitions which buyers turn into purchase orders, for raw materials, services & parts.
  • Enter goods receipts against purchase orders when receiving invoices from vendors.
  • Request new vendors to be opened.
  • Clear workflow of invoices in Baseware (AP application)
  • Respond to vendors regarding their statements & outstanding invoices.
  • Print invoices & request approvals from managers.
  • Process Non-PO invoices.
  • Upload monthly fuel consumption and do fuel adjustments.
  • Deposit cheques.
  • Pay invoices by credit card and create monthly expense reports.
  • Participate in Monthly accruals.
  • Update the monthly GRIR discrepancy.

Payroll/HR:

  • Send employee verification form for background checks.
  • Process new hires by creating ticket for new position before creating a new hire.
  • Create new hire of employee in the HRIS.
  • Terminate employees as needed.
  • Update their hourly rate when requested by Manager.
  • Do lateral transfers when required.
  • Advise Mylife (HR Team in Colombia) when employees go on leave & ensure to advise when they return.
  • Update HRIS of any actions.
  • Work with manager when employee goes on Short Term or Long Term Disability.
  • Assist manager for rush off cycles pay.

Administration:

  • Work with various departments, such as HR, Finance and Purchasing.
  • Mail processing (external and internal) In charge of office equipment and supplies, ensuring their proper operation and contacting suppliers, if needed.
  • Assist suppliers in Avetta updates (Health and Safety database).
  • Follow-up on and update various service contracts (employee uniforms, janitorial services, phone services, radio communication, site security system, etc.).
  • Collaborate with the supervisor in the creation and set-up of social activities.

Specific Accountabilities:

  • Verify payments against the supporting documents of expenses and approval.
  • Ensure all the information related to the STD and LTD is up to date.
  • Implement all changes to the collective agreement.
  • SAP CAT super user

  • Plant Annual Capacity: 350km3 of annual production

Qualifications

Education and Work Experience:

  • High School Diploma with at least five (5) years’ work experience in a similar work environment OR College Diploma in Office Technologies or Secretarial with three (3) years’ work experience. Administration or Accounting experience desired.
  • Good knowledge of MS Word, Excel, PowerPoint

Knowledge and skills:

  • Proven secretarial skills in administration, office management and in accounting.
  • Excellent organizational skills.
  • Strong interpersonal skills.
  • Knowledge in enterprise resource planning software (ERP) for financial resources. (Knowledge of SAP a major asset)
  • Expertise in priority and multiple requests management.
  • Efficient teamwork with a minimum of supervision.
  • Ability to take initiatives.
  • Bilingualism (French and English), spoken and written.
