JOB SUMMARY: UNDER THE GENERAL AUTHORITY OF THE DEAN OF ACADEMIC SYSTEMS IN THE REGISTRAR’S OFFICE AND DIRECT SUPERVISION OF THE ANALYST (DATA MINING SPECIALIST), THE ADMINISTRATION TECHNICIAN PERFORMS A VARIETY OF STATISTICAL TASKS FOR THE SYSTEMATIC COLLECTION, COMPILATION, ANALYSIS AND INTERPRETATION OF DATA. THE TECHNICIAN ALSO PERFORMS VARIOUS ADMINISTRATIVE AND TECHNICAL TASKS PERTINENT TO THE OPERATION OF THE SERVICE.

DUTIES AND RESPONSIBILITIES:

  • Extract information from the main databases such as Clara, PSEP, DEFI and CHESCO, as well as all other external databases
  • Create Clara reports in the Structured Query Language (SQL) server environment using Visual Studio software
  • Perform statistical analysis from data collected; include means, medians, modes and standard deviations from data collected; execute tests of significance, analysis of variance, correlation, and regression analysis
  • In collaboration with the Analyst (Data Mining Specialist), design, administer, monitor, maintain and analyze surveys, including surveys of students and alumni to better evaluate student success (i.e. Omnivox, Survey Monkey, LimeSurvey)
  • Design formats for data presentation and display which are user friendly, i.e. tables, graphs, charts, dashboards
  • Prepare data-related materials for various reports such as the annual report, dashboards, course calendar and program assessments and revisions
  • Prepare reports at the request of departments, program committees, the College and others using the data collected from various databases
  • In regards to data, assist and support with the planning and operation of the Registrar’s Office and the College, including data relating to access to information requests, teacher allocation, government reporting, etc.
  • In collaboration with the College Continuous Improvement Officer, provide the necessary data to support continuous improvement, student success and strategic plan initiatives, including strategic plan analysis and development
  • Create and maintain filing system
  • Comply with applicable policies, guidelines and procedures in the sharing and distribution of data and results
  • Contribute to the work of departments, program committees and Academic Council or its committees dealing with student success and other data, including attending meetings and liaising with other departments, as and when requested
  • Perform any other related tasks as may be assigned

QUALIFICATIONS:
Education
College diploma (DEC) in science (sciences de la nature), techniques de recherche et de gestion de données, or an appropriate specialty or an attestation of studies recognized as equivalent by the competent authority

Specific Requirements:

  • Knowledge of databases such as SQL, PSEP, DEFI, CHESCO, CLARA and others; an asset
  • Knowledge and usage of statistics and databases, with an understanding of database environments
  • Ability to use office systems technology
  • Ability to think critically and problem-solve
  • Ability to produce effectively under pressure, providing accurate data
  • Ability to work with a production schedule and deadlines
  • Autonomous- able to work with minimal supervision
  • Ability to maintain confidentiality
  • Ability to organize work efficiently and accurately
  • Strong communication skills
  • Good interpersonal skills
  • Works well within a team setting
  • Excellent computer skills (Excel, Word and PowerPoint)
  • English advanced- oral and written
  • French intermediate- oral, written and written comprehension
  • Related experience would be an asset
