The Administrative Assistant position is located at CFB Suffield, and typically reports directly to the Site Manager. Their primary focus provides industry leading facility operation and logistic support service under the direction of the Site Manager. The Administrative Assistant is responsible for providing administrative and clerical support and services to management and the rest of the team in a high-paced and flexible environment. This position is not rotational. Duties and responsibilities include but are not limited to:

  • Answer general phone/in-person inquiries in a professional manner.
  • Prepare/sort in-coming and out-going mail/packages and other correspondence.
  • Maintain adequate levels of office supplies and purchase new supplies as needed.
  • Implement and maintain filing system for hard copy and electronic documents.
  • Provide administrative/clerical support to the team including preparation/maintenance of documents, reports, memos, agendas, meeting minutes, spreadsheets within established timelines; ensuring confidentiality.
  • Process timekeeping in order to meet weekly and bi-weekly payroll deadlines.
  • Code/file financial material, process accounts payable and reconciliations within established procedure.
  • Administer and track petty cash.
  • Manage work orders using the computer program provided; track/report any additional work requests.
  • Make travel, meeting and other arrangements for management and the team.
  • Coordinate the maintenance of office equipment.
  • Communicate with co-workers, building custodians, vendors, head office and management. Ability to make timely decisions in emergency situations.
  • Work in a manner that is respectful of one’s own safety and the safety of others.
  • Comply with all related policy, procedures and regulations.
  • Dispatch on demand calls to techs and sub trades.
  • Perform other duties as assigned.
  • Must be willing and able to travel.

EDUCATION REQUIREMENTS

Degree or Diploma in

  • High School

The following certifications/designations are considered an asset

  • Business Administration
  • Office Management

WORK EXPERIENCE REQUIREMENTS

  • A years of B experience in C industry

A: Intermediate: 3-5;

B: Office Administration

C: Facility Maintenance Operations

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

Intermediate knowledge and understanding of:

  • Contract management
  • Financial statements – read and comprehend
  • Established practices, procedures and techniques
  • Applicable local and provincial labour codes
  • Business operations processes
  • Organization and time management

Intermediate/Advanced user of:

  • MS Office (Word, Excel, Project, Outlook)
  • Internet, and work order management
  • JD Edwards or an Oracle-based ERP system

Other:

  • Willing and able to travel to Suffield, AB
  • Eligible to receive and maintain the required level of security clearance through the Canadian Industrial Security Directorate

The successful candidate must obtain Reliability-Level clearance through CISD to be able to work on the base.
