Reporting to the Office Lead, the Administrative Assistant in this role is responsible for supporting the team with their daily administrative needs. The Administrative Support team cross-trains and is expected to provide assistance in all areas of administration. The team provides a seamless work flow between our offices in Vancouver, Whitby, Victoria and Langley, to ensure internal customers receive the highest level of caring.

The Administration team prides themselves on providing top quality customer service to their internal and external clients.

Responsibilities: Administrative Assistance (25%):

  • Copies and collates reports and proposals;
  • Scans and electronically files documents;
  • Database management include file administration;
  • Provides Phase I support as required including: opening file; ordering documents, photos, and files; entering data into system; and filing information on completion;
  • Organizes meetings and arranges for catering service when requested;
  • Provides clerical support for product documentation: filing, number tabs for file folders, archive, and retrieval of offsite storage;
  • Provides executive support as required.

Copy Editor (50%):

  • Provides support to word processing:
  • Proofreading for text, format, consistency and correctness including reference to attachments, figures, tables, appendices and acronyms;
  • Editing for spelling, grammar and language;
  • Directing other support staff assisting with peak workloads;
  • Assisting with compilation of report;
  • Provides support for report production and file open requests.

Reception (25%):

  • Office hours 9:00 am – 3:00 pm, Monday to Friday (Covid office hours);
  • Answers and directs incoming phone calls;
  • Greets and re-directs clients and couriers;
  • Prepares packages for couriers;]
  • Checks and forwards company voicemail messages and e-mails;
  • Prepares, receives, and distributes mail;
  • Collects and distributes incoming mail and faxes;
  • Stamps all outgoing mail and deposits in nearest mailbox at the end of each day.
  • Maintains office and reproduction equipment supplies.
  • Provides support to the Word Processing Team as required including proofreading/editing, formatting tables and figures, and report production;
  • Copies and collates reports and proposals;
  • Scans and electronically files documents;
  • Maintains and updates filing systems;
  • Open job requests into internal database;
  • Reception Back-up;
  • Maintains office communal spaces;
  • Maintains back office equipment;
  • Prepares boardroom for meetings and events; and
  • Provides clerical and general office maintenance where needed.

Job Requirements:

  • High School diploma with courses in administration being an asset;
  • At least two years of experience in a similar capacity;
  • Excellent attention to detail is essential;
  • Computer skills: Advanced Microsoft Word skills, Intermediate to advanced proficiency with Excel and Outlook, Acrobat is an asset;
  • A quick learner, with the ability to multi-task and work with tight and changing deadlines and priorities;
  • Proofreading skills are a definite asset;
  • Interest and experience in H&S Committee participation is an asset;
  • Good organization and attention to details;
  • Excellent written and verbal communication skills; and
  • Excellent customer service orientation.
