We’re also looking at what’s next for you and how we can help you build a career you’re proud of. We are seeking an experienced Administrative Assistant for our BC Region District office located in Richmond, BC.
As an Administrative Assistant for our BC Region, you will contribute to our team by:
- Providing accurate Word, Excel, and PowerPoint support by composing and/or editing a variety of documents, and templates for forms, letters, tracking spreadsheets, etc.
- Developing and maintaining a well-organized filing system that permits easy reference and rapid retrieval of information.
- Assisting with the issuance of subcontracts, subcontract revisions as well as client contracts.
- Managing emails and calendars on behalf of others, and arranging travel, hotel and car reservations.
- Developing and maintaining strong customer-focused relationships with key stakeholders and decision makers.
- Assisting Project Managers and Estimators on various estimate submissions, and the creation of proposals for new construction opportunities.
- Assisting with organizing meetings and/or special events, including arranging for catering, locations, and distribution of information.
- Answering telephone calls and taking messages for manager, department, or team members. Eliciting necessary information to allow timely and accurate responses and responding when appropriate.
- Assisting in ensuring departmental compliance with timelines, reporting, etc.
- Other duties as required.
Qualifications
What you will bring to the role:
- Post-secondary degree or diploma or certificate in office administration program is considered an asset.
- 1-3 years of progressive experience as an administrative assistant.
- Excellent verbal and written communication skills.
- General construction knowledge is considered an asset. Understands terminology and processes when drafting correspondence.
- Self-management skills to plan, organize and prioritize tasks with conflicting deadlines.
- Ability to act with discretion when handling confidential and privileged information.
- Ability to effectively handle difficult calls and situations, and remain calm under pressure.
- Intermediate skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
- Ability to develop and maintain effective stakeholder relationships.
- Ability to create, edit, proofread and format documents/presentations.
