Reporting to the Superintendent, Environment, the Administrative Assistant, Environment is responsible for supporting the General Manager and Environment team. This temporary opening will be for an approximate 12 – 18 month period.

To be successful we are looking for a confident and skilled professional to own their role. We require someone with the ability to multitask, stay organized, and adjust to changing priorities in a growing team. This role requires a high level of integrity and an ability know your audience, thus communication and interpersonal skills are vital.

Responsibilities :

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Handle financial related tasks for the group
  • Assist with employee management, including orientation of new staff and basic training
  • Implement an efficient electronic filing system that meets department requirements with aim to move to a paperless environment
  • Administrate Siteline and SharePoint, migrate to “new and improved” SharePoint, and manage document libraries
  • Coordinate travel, visitor access, and manage pool vehicles
  • Prepare weekly reports and presentations, minutes, and internal compliance reporting documents
  • Maintain document control for environmental contractors and consultant contracts, including change orders

Qualifications :

  • Minimum two years’ experience in office administration
  • Sophisticated digital literacy with the Microsoft Office Suite, particularly Word, Excel, and PowerPoint
  • Experience with financial tracking of invoices, change orders, accruals, AR reviews, and workflows
