Job description: Our client requires the support of an Intermediate Associate/Administrative Assistant to support logistical and administrative demands – based in Airdie, AB.

Qualifications

  • High school diploma / equivalency is required, post-secondary certification in administration from a recognized institution is preferred;
  • Two or more years of progressive experience in business/project administration and analytics is required, 4 years is preferred;
  • Highly proficient in Microsoft Office suite, specific focus on Word, Outlook, Excel and PowerPoint;
  • Experience with SAP, SuccessFactors, SharePoint, Fieldglass (CWC module) and other reporting tools is considered an asset.

Responsibilities

  • Actively manage calendars and travel arrangements for Managers and Project Managers, including maintaining supporting documentation;
  • Demonstrate considerable autonomy and judgment in coordinating and adjusting leaders’ priorities, work plans, schedules, and business travel;
  • Meeting support and coordination including schedules, logistics, maintaining meeting minutes, documenting and assisting with prioritization of action items;
  • Assist in the management of routine workflows
  • Independently create practical solutions to problems using detailed knowledge to evaluate impacts on the organization and project;
  • Run and format reports;
  • Prepare data/information analysis, scorecards, correspondence and presentations;
  • Build and maintain relationships with key internal and external parties;
  • Identify and anticipate communication needs within the team and ensure distribution of relevant information;
  • Provide support and execute on various systems and processes including travel / expense claims, timesheets, organizational changes, training, compliance and general office planning;
  • Professionally manage and maintain confidential and sensitive information;
  • Other duties and small projects as required.
