The Assistant Manager, Portfolio Administration leads and oversees a small team of Portfolio Administrators under the Portfolio Administration Department in the Toronto office as well as be the subject matter expert for the department and provide professional and timely support to Portfolio Managers, Analysts and Traders of 1832 Asset Management as well as Internal other internal and external groups.

Accountabilities

  • Assist the Manager with oversight of several department responsibilities, key areas being oversight of the Derivatives team in completing and monitoring daily activities.
  • Ensure that key controls are being followed and understood and assist with the identification and implementation of process and system improvements to support ongoing business growth.
  • Performance Management for reporting Administrators will include setting and monitoring department goals and will include midyear and year-end performance discussions and reporting.
  • Document procedures and assist with training Administrators on new or existing functions
  • Understand all other department functions and responsibilities under the Portfolio Administration team to assist in providing coverage in absences.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Leads and drives a customer focused culture throughout their team to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Creates an environment in which his/her team pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day- to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.
  • Builds a high performance environment and implements a people strategy that attracts, retains, develops and motivates their team by fostering an inclusive work environment through active coaching and guidance
  • Ad-hoc duties as assigned.

Education and Experience

  • University degree – BA, BCOMM
  • 3-5 years of relevant Securities Industry experience
  • Experience with reconciliations a definite asset
  • Experience with Equity, Fixed Income and FX trade settlements required
  • CSC certification – definite asset
  • Proficient in MS Office Word and MS Office Excel
  • Knowledge of Charles River and Simcorp Dimensions an asset.
  • Excellent knowledge of portfolio management, portfolio accounting, brokerage systems and an in-depth understanding of the Investment Management Industry.
  • Excellent written & verbal communication skills is a must
  • Ability to work under pressure in a fast-paced multi-faceted environment
  • Good interpersonal skills, team oriented and strong customer service skills
  • Ability to prioritize and manage multiple concurrent tasks
