Reporting directly to the Clinical Leader Manager, the Clerical Assistant is responsible for the organization of busy outpatient clinics with multiple physicians, nurses and allied health professionals and will perform a broad range of administrative, clerical and reception duties in the Women’s Health Care Centre. Duties include, but are not limited to, preparation of patients’ charts, ensuring relevant information is available, assisting patients into exam rooms and liaising with other departments to provide support for patients and staff while in clinic. Other duties may be assigned to support clinic functions such as providing relief and support services. As an integral part of the health care team and front line worker, you will be accountable for:
- Receiving visitors (patients, guests, etc.) to the clinic in a friendly and welcoming manner and directing them appropriately;
- Scheduling outpatient appointments, follow-up appointments as well as patient procedures; using a computerized scheduling system;
- Operating multi-line telephones, and responding to inquiries in a friendly timely manner;
- Obtaining and checking demographic data from each patient on arrival and registering each patient utilizing the ADT registration system and generating a green hospital card;
- Providing administrative support to a variety of clinical staff to ensure efficient operation of the clinical area and smooth flow of patients;
- Responding to inquiries including patient safety concerns and taking appropriate corrective action;
- Monitoring patient activity and flow in the various clinics;
- Utilizing computer equipment and various software packages, i.e. word processing, email;
- Assembling and preparing charts for each clinic;
- Retrieving and filing lab results;
- Liaising with various hospital departments such as admitting, labs, purchasing, etc. to exchange information and to resolve issues;
- Other duties as indicated.
QUALIFICATIONS:
- Secondary School Diploma required; completion of Medical Terminology course preferred
- Experience navigating software applications required (screen access, information search, data entry)
- Proven accurate keyboarding of net minimum 40 words per minute OR 106 keystrokes per minute.
- Proficient computer skills with advanced knowledge of Microsoft Office tools (MS Word, MS Excel) internet search, electronic mail is required.
- Outstanding customer service skills and telephone etiquette; patient-focused approach essential.
- Excellent interpersonal, analytical, and problem solving skills and keen attention to detail.
- Previous experience with Electronic Medical Records (EMR) and Practice Solutions Suite (PSS) preferred
- Demonstrated ability to organize, prioritize and follow-through effectively, working at a fast pace in an unpredictable environment that requires the ability to manage multiple tasks.
- Established excellent communication skills required – oral, written and comprehension – to obtain and relay information, coupled with proven tact and diplomacy in handling and dealing with confidential information.
- Requires well-developed interpersonal and team skills in an open work environment; collaborating and problem-solving as an effective member of the interprofessional team.
- Working knowledge of and familiarity with registration and booking procedures preferred.
- Previous clerical experience in the health care setting preferred

Hours: Monday-Friday (shifts between 8am-4pm). Shifts are subject to change based on departmental needs. Must Have Skills
