POSITION SUMMARY

As a member of Descartes Legal team, you will be working in a dynamic environment reporting to the Contract Administration Manager. This is a full-time position. The successful candidate will be highly self-motivated and possess strong organization/time management skills who has a keen eye for detail and accuracy and is looking to join a dynamic contract administration team working with colleagues across the company, and around the world.

RESPONSIBILITIES

  • Review and make minor modifications to system generated customer documents; liaise with Sales, GobalSalesOps, Finance, and Legal as required;
  • Ensure system generated contracts are executed in accordance with company policies and procedures for completeness; facilitate contract signatures using Descartes’ e-signature platform as required; and follow established close out procedures including accurate electronic filing of a high volume of documents;
  • Review and process customer and supplier alerts using Descartes’ proprietary DPS system;
  • Review and process customer contract cancellations following established procedures;
  • Provide administrative support to the Contract Administration Department and Legal Department;
  • Respond to internal requests and inquiries for contractual documents, customer information;
  • Proficient in Microsoft Office (Word, Outlook, SharePoint, Teams with basic knowledge of PowerPoint and Excel).
  • Other duties as may be assigned.

QUALIFICATIONS and SKILLS

  • University or college degree or equivalent working experience. Any equivalent combination of education and experience sufficient to perform the role may be considered.
  • Previous administrative office experience preferred. Contract administration experience an asset.
  • Proficient in Microsoft Office (Word, Outlook, SharePoint, Teams with basic knowledge of PowerPoint and Excel).
  • Familiarity with CRM tools, DocuSign and SAP would be an asset.
  • Ability to prioritize and balance conflicting deadlines and expectations while maintaining thoroughness and accuracy.
  • Team oriented, with the ability to work independently.
  • Strong communication skills, both written and verbal.
  • Goal oriented, positive, a self-starter, with excellent organizational skills.
  • Must work well under pressure and able to perform in a high volume, fast paced environment.

LOCATION

This position may be located at Descartes’ head office in Waterloo, Ontario, or remote from home.
