The Coordinator, Vendor Administration will act as a key partner to Blue Jays Business Operations and play an important role in the newly created “Vendor Administration” function. The mandate of the Vendor Administration function is to drive administrative efficiencies across the organization through centralization of process.

RESPONSIBILTIES
This role will be responsible for vendor life cycle management, internal vendor administration process development, and policy education.
Vendor Life Cycle Management Responsibilities:
Submitting/obtaining approval on new vendor requests in Rogers systems and maintaining existing vendors (e.g. re-activation of inactive vendors).
Establishing, managing, and receiving against Purchase Orders in Oracle.
Processing Purchase Order & Direct Invoices in Rogers systems.
Matching inventory invoices against Yellowdog Point of Sale (POS) system.
Responding to all internal (from Business Operations) and external (from vendors) in-bound questions on vendor setup/payment status.
Supporting business partners throughout Request for Proposal/RFP processes; this includes partnering with the Procurement function at Rogers Communications Inc. (Blue Jays parent company).
Provide budget support to departments as required (e.g, providing confirmation of received purchased orders to support forecast)
Reporting, provide annual vendor usage/spend to support business partner for negotiation, agreement renewal and procurement vendor management.
Internal Vendor Administration Process Development Responsibilities:
Develop and maintain internal processes to ensure the required vendor administration information is properly communicated from Business Operations to Vendor Administration.
This could include partnering with the Blue Jays Technology group to automate these processes (e.g., through Microsoft Teams).
Educate Business Operations on process to ensure adherence and efficiency.
Provide recommendation to transition vendors to standard agreement and or rate sheets based on YTD spend to assist with efficiencies, reduced rates, and policy compliance.
Policy Education Responsibilities:
Provide in-depth knowledge of company Accounts Payable & Purchasing policies.
Develop formal training materials to ensure business has knowledge of these policies.
Become the “go-to” resource for business partners seeking advice on Accounts Payable & Purchasing policy.
QUALIFICATIONS
University degree with a specialization in Business, Accounting, or an equivalent combination of education and experience
2+ years working experience in Procurement, Vendor Management, or related experience
Ability to manage/prioritize varying levels of inbound requests (in terms of urgency and importance)
Experience with enterprise business systems in an Accounts Payable/Procurement setting an asset
Exceptional communication and interpersonal skills, and ability to work cross-functionally
Proficient in Excel, Word, PowerPoint
Strong organization skills
Ability and willingness to work evenings, weekends, and holidays as required
Nice to Have
Knowledge of and passion for baseball an asset
Proficiency in Oracle Finance Systems an asset
