Job Description
BBA is seeking a client-focused, adaptable and meticulous candidate to support our technical teams in preparing project documents and correspondence as well as updating project files. The Administrative Assistant/Document Control Specialist will focus mainly on the running of the office as well as managing the document interface with the client.
The successful candidate will also be involved in:
Office Administration & Receptionist:
- Maintain and order office Supplies including coffee
- Answer phone calls
- Receive employee requests and, where necessary, refer employees to the appropriate resource
- Welcome guests/ wifi log in/ Hotel reservations
- Assist in making lunch reservations
- Lead social committee/ event coordination
- Submit Expense Reports
- Onboarding new employees
Document Control Specialist:
- Document process on various client platforms
- Implementation of client technical standards
- Development and implementation of process flows
- Vendor documentation processing and coding
Requirements
- 2- 4 years of relevant work experience
- Proficient in the use of Microsoft Office
- Ability to work on multiple files simultaneously
- Strong organizational ability and high attention to detail
- Excellent communication skills
- Must be able to learn on the fly, adapt to varying situations and have the desire to achieve results
- Collaborative team player who is able to maintain positive peer relationship
- Experience with other DC systems, such as Tdocs, Enterprise Bridge
- Experience with AutoCad, database tools and/or Suncor document control process is a great asset
