THE POSITION

Manage the office of the Vice President Finance and Administration and provide administrative support to all Finance and Administration departments as well as responsibility for corporate legal and board documentation, contract and audit requirements for BICL, BIAHCI, BIIO, PIL and BI Investment Canada. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Responsibilities

  • Supports the Vice President Finance and Administration (F&A)and related departments to ensure efficient administration. Design and manage departmental (and company) events/meetings. Support, coordinate or/and oversees F&A teams on ongoing and special Projects,some of which may require a high level of confidentiality related to the sensitive nature of information, financial transactions and organizational impact.
  • Maintain corporate contract files for all legal entities.
  • Systems Key user and administrator:
  • Learning Management System Administrator and local trainer for enabling functions and local trainer for enabling functions and the company as needed.
  • Local Canada IDEA for CON Document Coordinator/Key User (dept/company).
  • IDEA for Gen Key user and Group Administrator for documentation retention (dept./company).
  • Records Retention Administrator for the department.
  • MyBl intranet editor.
  • GBS: site training coordinator. Vendor creation for the company.
  • Maintain corporate minutes (for BICL, BIIL, PIL ULC, Anchor and Roxane). Partners with internal and external legal council and shareholders to coordinate Board Resolutions and annual returns for different provinces to ensure good corporate standing. Prepares and coordinates proxies where required for board meetings.
  • Audit Support: active involvement in various audits (Corporate, Quality, Health Canada, Financial,…). Locate and prepare and provide documentation as required, including confidential documents (e.g. EC Minutes).
  • Manage Payments and POs for Finance and administration team
  • Facilitate new F&A employee orientation
  • Suggest and/or implement process improvements.
  • Participate in department initiatives and projects.

Requirements

  • Post-secondary education combined with administrative experience of 3-5 years preferably in a Finance oriented position.
  • Strong interpersonal, communication and organization skills.
  • High level of confidentiality and attention to detail. Must be able to prioritize and exhibit discretion in handling sensitive issues.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, corporate colleagues, executives, staff, and legal organizations
  • Advanced systems skills.
