Job title: Facilities Administration Coordinator
Job description: Ancillary Services delivers services to students as well as to the greater Dalhousie and business community including: on-campus residence, food services, university bookstores, conference services, off-campus housing listing service, and university ID (DalCard) among others. Reporting to the Assistant Director, Facilities Operations, the Facilities Administration Coordinator will support the two Assistant Directors, Facilities, with various processes such as fire marshall inspections, usage of Kx software to facilitate residence room inspections, keys, and parcels, as well as general administrative support.
Key Responsibilities
- Performs regular audits/condition assessments of all residence buildings to identify and document items of non-compliance with legislated fire safety requirements. Generate work orders for corrective action.
- Keeps current with evolving codes and legislation to ensure compliance with legal obligations pertaining to building fire safety.
- Provides support to Assistant Director, Facilities to assist with all invoicing for Food Services and assist with actively maintaining records of all invoices to show trends regarding repairs and replacement of equipment. Approves Food Services invoices under $1000.
- Ensures Kx Inspections is operational, and continually monitors Kx Inspections to ensure students are completing room inspections as part of the check in and out process.
- Applies appropriate charges for damages to resident’s student accounts.
- Prepares and distributes regular reports on damages, and provides detailed statistics and analytics to help improve policies.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
- Office/Business Administration program with approximately three years’ experience in a similar role or equivalent combination of training and experience).
- Familiarity with and ability to interpret relevant fire safety legislation, regulations, acts and codes.
- Extensive advanced skills in Microsoft, especially Excel and Word.
- Working knowledge of basic fire protection and detection systems.
- Ability to read and interpret drawings, plans and equipment specifications.
- Proven ability to work independently as well as be a strong team member.
- Must have strong organizational and analytical skills.
Assets
- Level 1 and 2 certifications with the Fire Inspectors Association of Nova Scotia (FIANS).
- Experience with Kx and/or FAMIS.
