Salary: $49,483 – $61,854 per annum
Status: Permanent Full-Time
University Health Network (UHN) is looking for an experienced professional to fill the key role of Finance and Administrative Assistant in our Building Operations, Maintenance, Security and CONNECT department.

In compliance with the Occupational Health and Safety Act and its regulations, the responsibilities of the Finance and Administrative Assistant include: coordinating the implementation of best practices and processes for financial tracking and reporting; ensuring the efficient operation of the office; performing administrative responsibilities; ensuring that established standards are maintained; performing cross-functional and/or other duties consistent with the job classification, as assigned or requested.
RESPONSIBILITIES:
- Works with managers, vendors, finance department, accounts payable and other relevant parties to implement of processes for financial tracking/reporting
- Follows up on and resolve problems/concerns, within scope of authority.
- Processes accounts payable and receivable transactions; identifies and follows up on errors/discrepancies
- Calculates bi-weekly payroll for union and non-union staff; reconciles errors and resolves discrepancies accordingly.
- Complete purchasing requisitions, within signing authority limits
- Manages Capital Funding submissions and reconciles accordingly
- Ensure Monthly department accruals are completed
- Completes Quarterly reporting for Vice President or other senior level team members
- Participate and represent FMPRO on corporate initiatives or purchasing initiatives
- Manages department online web portal
- Manages department information relating to computer resources and telecommunication; ensures cost-effectiveness
- Develops and communicates office procedures; acts as a resources person to the department on all office administrative and maintenance matters.
- Receives, forwards, types and files correspondence pertinent to the department.
- Submits incident reports to Occupational Health and Safety, in a timely manner
- Performs cross-functional and/or other duties consistent with the job classification, as assigned
QUALIFICATIONS REQUIRED:
- At minimum, completion of a community college diploma in Business Administration or Accounting, or equivalent required.
- Minimum 3 years practical and related experience required
- Previous on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment preferred.
- Experience working in a health care environment an asset
- Good verbal and written communication skills
- Good organizational and time management skills
- Good interpersonal and customer service skills
- Ability to produce high quality work in accordance with Hospital standards
- Ability to work well under pressure
- Ability to use good judgment in assessing difficult situations
- Knowledge of general office practices, procedures and standards
