What you will be doing:

Reporting to the Assistant Director of Food & Beverage responsibilities and essential job functions include but are not limited to the following:

  • Acts as the liaison for our Tour guests, ensuring the smooth and efficient operation of group and tour dining experiences and creating a positive relationship between the hotel and tour directors
  • Prepare dining blocks, book event rooms
  • Monitors the hotels Dining Reservation Inbox and responds in a timely fashion to all internal and external inquires
  • Develop and maintain close and effective working relationship with all supporting departments. To assist guests and colleagues with any special requests they may have
  • Open Table Accounts Champion. Liaise with open table account manager as needed, ensure all information is current and up to date on opentable.com, training new users as needed
  • Respond to all large party inquiries before relaying a confirmed booking to operations.
  • Updates monthly calendar tool for internal departments to reference hours of operation and to highlight F&B offerings
  • Effectively communicates all F&B updates to the division including VOG, Heartist Recognition, monitoring and updating the communication boards to engage F&B Heartisits
  • Liaise with Conference Services and Catering managers to effectively organize special event dining reservations (Thanksgiving, Easter, Festival of Christmas). This includes securing dining reservations for guests pre-arrival
  • Acts a support for our Banquet and Conference Services Managers to elevate out guests experience
  • Attends weekly Event Order meetings
  • Attend weekly Resume meetings
  • Active participation in F&B departmental meetings, team building efforts and other activities
  • Prepare weekly, monthly, quarterly and annual reports as required
  • Assist front of house managers with Watson and Dayforce as needed
  • Adhere to the hotel’s vehicle handling and safety policies while driving hotel and guest vehicles
  • Follow all safety and sanitation policies
  • Consistently offers professional, engaging and friendly service
  • Follow departmental policies, procedures and service standards
  • Maintain the strictest confidentiality at all times on all matters pertaining to management, staff and any associated Food & Beverage matters.
  • Other duties as assigned

Your experience and skills include:

  • Knowledge of F&B operations required
  • Previous experience in an administrative role required
  • Minimum 1 year Administrative/coordinator/sales experience is preferred
  • Strong interpersonal and problem solving abilities
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
  • Highly organized, with the ability to prioritize and meet deadlines in a fast-paced environment
  • Highly responsible and able to handle confidential information with the utmost discretion
  • Professional telephone manner and demeanor with a natural response to ‘smile’ on the phone
  • Excellent interpersonal, written and verbal communication skills
  • Analytical and detail-oriented with a working knowledge of Microsoft Office
  • Team player with strong initiative and self-direction
  • A working knowledge of Silverware, OpenTable, Opera Property Management is an asset.
  • University/College degree in a related discipline an asset
