One of our Higher Education clients is looking for an Implementation Coordinator- Research Information Management System
Length: 12-month contract with a strong possibility of an extension
Location: 100% remote
Work Hours: 25-26 hours/week

POSITION SUMMARY
The incumbent will manage the non-technical aspects of planning and executing the implementation of the university’s new research information management system-Elsevier’s Pure. The incumbent will help ensure that Pure is implemented on-time, on-budget, and in a way that meets stakeholder needs.

To this end, the incumbent will manage the overall non-technical maintenance and rollout of the new system. This includes liaising with stakeholders on what data needs to be in Pure, managing roles/rights within Pure, continuous system configuration, coordinating end-user training, and rollout.

The incumbent will work closely with various academic and business units across the university, but most commonly with members of the IT team and the Research Office, as well as project partners at Elsevier and unit leaders with the faculties. The incumbent should understand (or be prepared to develop an understanding of) the research and academia initiatives at the university and execute their duties with an eye on these initiatives. The incumbent doesn’t require technical knowledge

DUTIES AND RESPONSIBILITIES
With the position summary in mind, the incumbent will:
Work, and regularly communicate, with project sponsors, prospective Pure end users, and those engaged in the technical implementation of Pure.

  • Ensure active participation of prospective Pure end users throughout the implementation process, at appropriate stages and in appropriate ways. In the process, ensure prospective Pure end user requirements and desirables (with regard to Pure) are well understood, documented, and incorporated in the implementation where appropriate.
  • Drive and challenge business units on their assumptions of how they can best utilize Pure as a research information management system.
  • Perform analysis, problem solving, and research to formulate solutions to complex business needs.
  • Attend project meetings, which may include recurring meetings (e.g. weekly meetings).
  • Develop and maintain project records to enable effective and informed decision making. This includes, but isn’t limited to, tracking and ensuring issues and action items are addressed in a timely manner, as well as ensure they and their solution undertaken are documented.
  • Continuously configure the system to meet stakeholder needs, including but not limited to managing roles and rights within Pure.
  • Engage in relevant aspects of the Pure Academy training, as well as coordinate Pure training for end users across the university.
  • Apply knowledge of research data, including its capture and curation, and provide expert support on the use and configuration of the university’s new research information systems, in order to support the promotion of the University’s research activities.
  • Help ensure that activities related to the implementation of Pure are run in accordance with AU’s established Digital Governance Framework, follow project methodology best practices and comply with Digital Security standards.
  • Work with various teams to ensure data quality and integrity in the research information system.

EDUCATION / EXPERIENCE

  • Minimum + 5 years Project Co-Ordinator Experience
  • Expert Level MS Project, MS SharePoint, and Office 365 suite (including Excel, PowerPoint, MS Teams)
  • Certification or Proven Senior level knowledge in Project Management principles preferred
  • University Degree or College Diploma in Business Management, Finance, Computer Science or Administration.
  • Knowledge of business planning, business processes, management, budgeting, and business office operations is a requirement
  • Strong problem-solving skills, including the ability to take a practical approach to dealing with shifting priorities, demands and timelines
  • Solid experience with JIRA
  • Ability to learn, understand and apply new technologies, and techniques
  • Delivery-oriented and ten

  • Highly organized, self-motivated, self-directed, and attentive to detail
  • Excellent communication and interpersonal skills are required. These skills must include strong oral and written communication skills, as well as a high degree of tact, diplomacy, and persuasiveness.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Ability to coordinate completion of multiple tasks and deadlines

QUALIFICATIONS
Includes education, experience, skills, abilities, and any other special qualifications required. The qualifications relate to the position not the incumbent

  • Undergraduate degree, plus experience in project management
  • Experience with Research Information Management Systems, research data, and in using research analytics and metrics for benchmarking research activities
  • Planning and organizational skills, with experience establishing priorities, allocating resources and meeting deadlines in a large, complex organization
  • Effective team player with proven relationship management and consulting skills, including the ability to interact with a variety different stakeholder group
  • Analytical, critical thinking, creative, and conceptual skills including demonstrated ability to quickly assimilate new concepts and information and deliver positive, innovative solutions
  • Effective Interpersonal and communication (both written and verbal) skills with the ability to: extract, assess, or articulate business requirements to and from a broad range of stakeholders; and provide advice as well as effectively communicate and present complex information; and, be able to communicate effectively and with a high level of diplomacy to justify project decisions and retain the active support of all stakeholders
  • Computer literacy, particularly with current business management software packages and their various application capabilities (e.g. Office365, SharePoint, and Microsoft Teams)
  • Positive can-do attitude with the proven ability to act as a change champion
