Logistics Administrator

Contract position for 6 months

Location: Mississauga, On

Basic Function
Reporting directly to the Supervisor, Supply Chain and Distribution, the Logistics Administrator provides logistical support and tracking within our supply chain.

Nature and Scope
The Logistics Administrator will support all wholesale and pharmacy customers to ensure accurate delivery and timeframes are met. These activities include responding to inquiries in a prompt, courteous and effective manner, proactively providing track and trace services and following standard operating procedures to problem solve. The incumbent must possess superior customer service and problem-solving skills. This will enable them to evaluate priorities, perform required tracking analysis, and react quickly to emergency situations. To meet business requirements, and as business dictates, the position may require overtime/shift work on a rotational basis.

What you will do:

Entering orders into the system according to customer standard operating procedures

Proof of Delivery (POD) Requests for Order Desk Administrators, Warehouse, SCC’s and SPN’s etc.

Coordination and tracking/analysis of successful/re-attempt/unsuccessful orders

Verifying pertinent shipment information such as purchase order number, pick up number, delivery number, shipper information and hours of operation, receiver information and hours of operation, quantities, and special requirements

Trouble-shooting any issues arising during the verification process

Setting pick up or delivery appointments with patients/customers for various patient support programs

Escalating issues to carrier or customers in a timely manner when necessary

Requesting appointment changes as per related standard operating procedures

Ensuring all parties are advised of appointment times

Contacting carriers for daily tracking of in-transit shipments and updating system

Determining carrier eta for delivery and flagging any potentially late deliveries to carrier and customer account managers.

Provide ad-hoc information to carriers as well as internal stakeholders as requested.

Carrier Vetting; the setup of new carrier partners.

Duties as assigned by management, could include, but are not limited to; responsibility to cross train with other operations representatives on each other’s areas of responsibility.

Report all Adverse Events (AE) and Product Technical Complaints (PTC) immediately or as soon as possible

The ability to be sensitive to client concerns, investigative skills to resolve distribution oddities, and the ability to provide clear communication/service in both official languages.

Must be flexible to work overtime or be on call when required (weekends/holidays)

What you will need

Minimum of 2 to 4 years’ experience in an analyst/logistics role or related experience

Demonstrated multi-tasking, analytical and problem-solving skills a must while maintaining positive client relations.

Proactive, strong interpersonal, negotiation and consensus building skills and the ability to work in a fast-paced team-oriented environment.

Responsive, adaptable to change and is self-directed.

Ability to identify problems and draw upon a range of choices to formulate solutions.

Adaptable to set and prioritize work with occasional exceptions. Able to work with diverse personalities and styles.

Bilingual – English/French (strong) – written and oral is essential

Proficient computer skills – Microsoft Word, Excel, PowerPoint and Outlook

Communicates with clarity, verbally and in one on one or group situations, or over the telephone.

Computer skills to maintain databases and spreadsheets and produce accurate reports and documents.

Extensive knowledge of customer service procedures (including industry best practices)
