Job title: Logistics Administrator

Job description: Purpose:
To assist the Warehouse Supervisor in overseeing the orders flow and taking responsibility for the communication between warehouse and office. This position performs regular duties, directs crew work in compliance with SOPs, and ensures crew perform functions in a safe and efficient manner.

Major Responsibilities & Accountabilities:

  • Ensures weekly stock checks of materials and equipment are done and place new requisitions as needed.
  • Monitors crew members work habits, effectiveness, and skill levels.
  • Generates Requisition, Re-work, and Devan Report forms and receives/ships orders into and out of the inventory system.
  • Direct, assign and review warehouse and clerks in performing daily duties such as: Order picking, packing, shipping, and receiving, and so on. Assists in maintaining a safe and healthy work environment.
  • Prints and controls order flow and work assignments in conjunction with Supervisor
  • Provides training around business operations, safety protocols and company policies to current and new employees
  • Attends weekly meetings with the Manager to go over Key Performance Indexes, financial progress of the department and other related issues.
  • Creating a weekly schedule and ensuring task deadlines are met in a timely fashion.
  • Maintaining yard layout and trailer movement schedule (known as “shunt schedule”).
  • Inspecting Trailers and Containers to ensure compliance with company equipment requirements.
  • Mentors and acts as a role model for crew members while working alongside them, and training
  • Ensuring crew safety at all times.
  • Promptly reports to the Supervisor or Manager any safety/injury related incidents including near misses, as well as any complaints or requests from business partners.
  • Attends operations/planning meetings as and when required.
  • Accurately documents receipt and shipping of all coffee and other materials, checks crew’s work against orders for accuracy, maintains inventory reporting and records of bags and pallets shipped/received.
  • Interacts with suppliers, customers, and transport companies as required.
  • Maintains equipment, machines and computer systems in a clean and orderly condition.
  • Operates various lift equipment and other warehouse equipment in accordance with safety protocols and equipment operating procedures.
  • Works in a safe and responsible manner and complies with all Health & Safety, HACCP and GMP policies.
  • Collaborate with marketing team on the management of incoming E-commerce enquiries.
  • Fulfill and organize E-commerce and sample orders to ensure the delivery process is efficient and accurate.
  • Providing data entry support via excel and online platforms.
  • Create accurate shipping documentation for domestic and international shipments.
  • Complies with Seaforth and Swiss Water’s environmental guidelines and procedures

Education & Experience:

  • High school diploma or equivalent.
  • Minimum of 2 year logistics and/or warehousing experience – food grade is an asset.
  • Experience working with inventory management systems.
  • Any first aid training (with proper certification) is an asset.
  • Proficiency with MS Office software programs (Excel, Word, Outlook

Minimum Requirements:

  • Valid lift truck certificate (training will be provided if necessary)
  • Current WorkSafeBC Approved Level 1 First Aid (training will be provided if necessary)
  • Steel toed boots

Knowledge/Key Skills/Competences:

  • The ability to act as a crew lead and take responsibility for the crew.
  • The ability to motivate and monitor crewmembers while working alongside them.
  • The ability to read and understand operating manuals.
  • Numerical skills in order to maintain count accuracy during all stages of production as well as check inventories, etc.
  • Ability to accurately and legibly document receipts / shipments, picked orders, etc.
  • Strong interpersonal skills to work efficiently as a team and interact with customers and suppliers.
  • Physically fit, with ability to move/lift heavy loads on occasion.
  • Ability to safely and properly operate and maintain a lift truck
  • Handles stressful and time sensitive issues with confidence and priority
  • Detail oriented is a must, excellent organizational skills
  • The ability to multi-task, meet deadlines and work well under pressure
  • Quick learner with a “can do” attitude
  • Reliable, accountable and trust-worthy

  • Communicate effectively with the Warehouse Manager, Warehouse Supervisor, Logistics Department, and other team members
  • Meet high standards of work practices and demonstrate safety conscious behavior.
  • Maintain your forklift certification.
  • Maintain your Level 1 First Aid training
  • Comply with all company policies and procedures

External Interactions:

Interacts with current and potential customers as well as freight carriers and various vendors
