Responsibilities
What you’ll be doing as Logistics & Administration Coordinator?

Processing Customers’ orders.

Purchase Orders to Factories and Inventory Planning.

Verification of customers’ credit history .

Verification of lead time and delivery time with factories.

Use of the Logistics Dashboard as a comprehensive scheduling tool.

Coordinating freight and inventory activities according to strategy and stock capacity.

Review stock levels with product managers to determine inventory needs.

Keep staff updated on delivery dates, changes, and confirmations.

Maintain communication with customers regarding estimated and actual delivery times throughout the process.

Coordinate with Service Administration and customers regarding installation scheduling requirements, and possible training classes.

Provide all documents needed at installation time.

Follow up contacts with customers about deliveries.

Maintain relationships with shipping companies.

Coordinate CSA needs and requirements.

Coordinate with inventory regarding items with subsidiaries.

Schedule and supervise Trade Show activities, from space rental to equipment and other materials delivery.

Compliance with local, national, associations’ statistical requirements.

Maintain price list accuracy for EBS, subsidiaries, and dealers.

Verify that Sales contracts are compliant with Group’s Profitability and Discount policies.

Ensure the proper calculation of such commissions (In the event of sale commissions to third parties)

Ensure data collection and entry in the CRM system.

Collect all payment before delivery or agreement.

Prepare all necessary reports and documents required by management and Corporate offices, including but not limited to: invoicing, order entry, and inventory forecasting, yearly Financial, Commercial Budgets, Strategic Marketing Plan.

Maintain different levels of Sales statistics to support management decisions.

Internal Employees Commissions calculation.

Coordinate with other departments to determine workflow, best practices, and standards.

Coordinate with management and corporate office regarding any additional reports to be produced.

Establish internal policies regarding inventory management.

File and follow any possible freight claims, product liability cases or duty requirements

Assist with other tasks / departments, cross function as required and or needed.

Qualifications
You are a perfect fit for the role of Logistics & Administration if you have:

Bilingual French & English (strong communication, reading, writing and comprehension skills) is A MUST

2 to 3+ years of work experience at a logistics provider or logistics function within a corporation is an asset

Experience with international customs, freight management and logistics is an asset

1+ experience with any of the following softwares: Oracle, EBS, Microsoft Dynamics or similar CRM/ERP systems.

Excellent communication, interpersonal, and organizational skills

An attention to detail

You have the ability to think on your feet and be inventive in solving issues with little information and obscurity

Willing to embrace and drive change in our organization, challenging the status quo and looking to improve systems and processes with new ideas

The intellectual curiosity to ask questions, seek out answers and take charge of your long term development in learning the intricacies of global trade

Excellent computer skills

Strong proficiency in MS Office Applications, especially in Word and Excel
