We are recruiting for a Logistics Specialist/Team Leader for our facility in Kanata, Ontario.

RESPONSIBILITIES:

Monitors and facilitates the day-to-day activities of the Global Logistics Team ensuring products are shipped on time and in compliance with all applicable regulations.

Provides support to the Transportation & Office Services Manager.

Reports to Transportation & Office Services Manager.

  • Represents Global Logistics on various project teams
  • Makes independent decisions and recommendations within project parameters and guidelines
  • Makes independent decisions, exercises judgment and initiates actions within standard policy, procedures and guidelines, applicable to the role.
  • Makes independent strategic decisions which further the success of the Global Logistics Team.
  • Maintains close working relationships with the logistics supply chain.
  • Ability to effectively communicate via phone, email and in person to employees at various levels throughout the company, maintaining a strong customer-service orientation.
  • Ability to effectively communicate via phone, email and in person to external contacts, such as, carriers, freight forwarders, customs brokers, etc.

ACCOUNTABILITIES:

  • Tracking shipments and working with carriers to optimize performance and resolve shipping issues.
  • TDG (Transportation Dangerous Goods) Hazardous Materials Transportation training with focus on Class 7 radioactive shipments.
  • Working with Forwarders and Carriers to find the most time and cost effective transportation solutions.
  • Ensuring full compliance with all regulatory requirements including notifications, clearances, transport and Customs compliance, and verifications.
  • Ensuring paperwork is accurately completed and communicates internally with EHS & Compliance, Sales and Customer Service, Operations, Facilities and others as required, and externally with customers, supply chain, and regulatory bodies are followed through.
  • Analyze and determine the root causes for delays, identify solution options with internal and external resources, implement and monitor effectiveness of the solutions.
  • Track incidents and develop trend lines, work with the team and supply chain to resolve and mitigate potential for recurrence.
  • Utilize and participate in process and continuous improvement to establish and maintain the most effective and efficient transportation capability possible.
  • Provide guidance and coaching to the team in functional and technical development.
  • Analyze monthly shipping statistics
  • Prepare bi-weekly KPI reports for external customer
  • Assess and institute processes, practices and controls to ensure 100% compliance with all applicable regulations, guidelines and internal processes / procedures.
  • Actively support internal groups, such as Operations; Sales & Marketing; Strategic Supply, etc.
  • Oversee and ensure sufficient GL coverage with respect to requests for leave, holiday coverage, and on call coverage.
  • Responsible for investigating Logistics-related customer complaints – completing the required investigation report. Identify trends and root causes in delivery problems, and work to resolve as quickly as possible, maintaining necessary and appropriate communication throughout the process.
  • Responsible for approving supply chain services’ invoices ensuring accuracy of charges and of allocation to appropriate product line or customer order.
  • Responsible for approving team members’ time cards
  • Assist the Transportation & Office Services Manager in the recruitment of new team members
  • Provides quarterly Global Logistics report to the Management Review Team
  • Provides delivery statistics to, and participates in the quarterly Customer Satisfaction Meetings

KNOWLEDGE & EXPERIENCE:

Normally, a minimum of 8 years of experience in the transportation field or related function.

In addition:

  • College diploma or University degree in Transportation/Business
  • C.I.T.T. and/or equivalent
  • CCS (Canadian Customs Specialist) certificate
  • Technical knowledge of all modes of transportation with emphasis on courier, air freight, and truck
  • Practical knowledge of international customs and trade regulations
  • Understanding procedures pertinent to transportation and INCO terms as well as cargo insurance
  • Computer software proficiency (Word, Excel, Access, Outlook)
  • Strong time management, organizational and planning skills
  • Must demonstrate strong interpersonal, people, and leadership skills
  • Must be capable of working cooperatively with managers at all levels and/or project team members.
  • Must be resourceful creative and reliable.
  • Ability to influence and work with people at all levels to ensure successful product delivery.
  • Excellent communication capabilities and practices, both oral and written.
  • Analytical, with a process focus and demonstrated problem solving capability.
  • Excellent attention to detail and are able to establish processes or practices necessary to ensure specific and complex actions are completed routinely, reliably and in full compliance to requirements.
  • Strong ability to multi task and prioritize.
