We are seeking a Billing Administration Manager to join our Accounting team in any of our offices!

Reporting to the Senior Manager, Accounting, under the Finance group, this role is responsible for overseeing the billing administration processes and assigned billing of the Firm’s Lawyers in any of MT’s offices. This incumbent will be expected to promote a client-first focused culture and ensure effective operational management of all billing administration clerks to deliver high-quality, efficient and consistent billing support to the Firm’s Lawyers.

Key Responsibilities:

Responsible for billing support services operations and client service

  • Monitoring levels of client service provided by the billing clerks and ensuring that ongoing and future investments in people, processes and systems are effectively developed, implemented and managed to continually drive improvements in team performance and service delivery. Performs regular quality control audits.
  • Performing intake and assessment directly with the Firm’s billing lawyers to understand volume and ensure client specific and practice specific needs are built-into the billing service to be provided.
  • Overseeing the daily operations of the billing clerks during billing cycles, and proactively managing the delivery of services including allocation of resources, workload / workflow management and working directly with legal professionals to ensure billing service needs are being met.
  • Liaising with the lawyers during the billing cycle and actively follow up with them to ensure their prebills are processed in accordance with month-end deadlines.
  • Coordinate with the Legal Assistants, Billing Clerks & Billing Coordinators during the billing cycle and strive to streamline the process and eliminate redundant/excessive emails, etc.
  • Assisting the Billing Clerks at month-end with the hands-on processing of prebills and working overtime when required including responding to any adhoc urgent requests.
  • In collaboration with Legal Support Services/Talent management working to ensure that resources are utilized to optimal capacity during off-billing cycle periods to provide administrative support as demands necessitate.
  • Arranging interim and temporary support arrangements for planned and unplanned absences or peak billing periods.
  • Escalate issues/concerns to the appropriate parties involved in the billing cycle and legal administration.

Supervision of Personnel

  • Responsible for supervision of the billing administration clerks to maintain operations which includes: authorizing overtime, approving vacation, scheduling staff hours to ensure adequate coverage in cases of planned and unplanned absences. Ensures billing staff are meeting production standards, following internal controls and procedures while producing high quality work.
  • Working closely with the Legal Support Services/Talent management to address on the ground billing services concerns / issues raised and/or plan for business needs, and to be kept informed of regional events/matters that may impact billing staff’s ability to perform duties, attend work, etc.
  • Working with the Legal Support Services/Talent management to evaluate performance, manage attendance related matters, etc.

Change Management

  • Conferring with Sr. Accounting Manager to continually develop and implement processes to ensure quality including improvement on efficiencies as it relates to processes.
  • Assists in the implementation of firm wide initiatives as they pertain to members of the client group, including, implementation and rollout of streamlined efficient billing process and practices firm wide.

Resourcing

  • Working with the national Recruitment team to ensure the recruitment process for billing administration staff is highly effective and their integration into the Firm is successful, including establishing appropriate pipelines.
  • Participating in recruitment processes including: reviewing CVs, conducting interviews, and making recommendations for hiring to Manager.

Miscellaneous

  • Other duties as required. (This establishes the premise that the job’s essential duties are not all-inclusive, and other functions may be added dependent on the situation)

What you’ll bring:

  • College diploma in a related field such as legal office administration or completion of a legal office administration certification.
  • 2-5 years working experience as a supervisor in a similar environment.
  • Billing process experience and/or relevant knowledge
  • Proficiency in MS Office
  • High attention to detail
  • Ability to relate and communicate well with team members, other departmental employees, client groups and manager, provide guidance, motivation and work direction to team.
  • Demonstrated ability to plan, organize and coordinate the work of others.
  • Demonstrated strong client service skills and crisis management skills
  • Ability to prioritize tasks in a fast-paced environment
  • Ability to communicate exceptionally well (verbally and in written form)
  • Ability to develop and implement procedures to obtain maximum efficiency
