Job title: Manager, Production & Administration

Job description: The Manager, Production & Administration will be responsible for supporting the growth of in a variety of programmatic and administrative capacities.

Administration (30%):

  • Keep records and manage files for the Board of Directors, including taking and organizing minutes, maintaining updated contact information, and ensuring accurate and timely Board communications
  • Schedule and coordinate meetings with Staff, Board, and various vendors, contractors, and partners of the Foundation, and manage the GGF’s calendars
  • Support monthly bookkeeping, including organizing receipts and other financial records to assist our accountant, completing bank deposits, maintaining familiarity with our chart of accounts, as well as assisting the Executive Director in the development and tracking of project budgets
  • Support the reporting and filing of federal and provincial returns
  • Process, record, and file donations, including creating and issuing donation receipts and thank-you letters
  • Hire, train, and manage support staff and interns
  • Support the maintenance of office records, troubleshoot office equipment, maintain an office inventory of supplies, and periodically update office manual
  • Respond to inquiries about GGF programming by email, phone, and in person
  • Undertake special projects (e.g., migrate to new CRM database), evaluate current email services and recommend options for improvement

Podcast Production (10%):

  • Schedule and monitor all recording sessions on a web-based platform
  • Manage and organize audio files
  • Provide post-production support as needed
  • Create and implement marketing plans and social media assets for each episode
  • Communicate with podcast guests about recording sessions, episode information, and release dates, as well as tech requirements
  • Collaborate with other production personnel as needed

Foundation Projects & Programming (30%):

  • Provide creative input for new and ongoing GGF projects, including but not limited to The Glenn Gould Prize, Instrumental: Music and Mental Health, The Glenn Gould Prize Jury, and various live and streamed events
  • Schedule and participate in key meetings, assist with event planning activities, and plan publicity strategies to promote events
  • Establish and cultivate key relationships with partners, donors and board members
  • Support project management and creative development as needed
  • Write, edit, and prepare schedules, critical paths, and budgets, including project-specific assignments, strategic plans, development plans and other documents
  • Source third party service providers and other vendors
  • Provide creative input into the planning, development and project implementation/execution processes

Web, Digital & Design (30%):

  • Design and revise marketing and fundraising assets such as decks, presentations and documents
  • Strategize, design and deliver monthly GGF email newsletters using MailChimp
  • Implement website updates in WordPress and add content as needed, in collaboration with developers
  • Create relevant and timely content including copy and assets for Twitter, Instagram and Facebook on a consistent basis, using Canva
  • Strategize, schedule, and coordinate marketing campaigns on social media

Requirements:

  • 2 years minimum experience working in the arts sector, as well as a demonstrated passion for the arts that recognizes their importance in a vibrant society
  • Some experience in an administrative capacity, preferably within a not-for-profit arts context
  • Superior organizational skills, detail-oriented, and highly professional
  • Outstanding communication, people and writing skills
  • Excellent time-management skills, and the ability to work within tight deadlines
  • Previous experience with event planning, logistics, and/or production needs for in-person and digital/streamed activities
  • Discreet, tactful, and trustworthy with confidential information
  • Demonstrated ability to work collaboratively within a small team as well as independently to meet specific goals
  • A “can-do” mindset, willingness to tackle and conquer creative challenges, think outside the box, and to commit to schedule that can include occasional weekends and evenings.
  • Intermediate to advanced proficiency with Google Workspace and business programs in other platforms (word processing, spreadsheets, database/CRM programs, calendars), as well as experience in a Mac environment
  • Technical and graphic design proficiency with Photoshop, WordPress, and/or video editing software is a significant asset

Additional Info: The position is currently remote, but some office trips and on-site event work in downtown Toronto will be required as necessary.

Compensation:
$50,000, commensurate with experience
The initial contract for this position will be for 6 months, with the option to extend.
