Job description: The Architectural Institute of British Columbia (AIBC) is an independent, professional self-governing body established in 1920 by provincial statute (the Architects Act) with the mandate to regulate the profession of architecture on behalf of the public.
The AIBC has an opportunity for an ambitious and organized individual who is up for a unique and rewarding challenge. We are seeking a permanent, full-time People and Administration Coordinator (“Coordinator”) to join our team. Reporting to the Manager of People and Culture, the Coordinator will help ensure efficient day-to-day operation of the office, with significant administrative functions in the People (Human Resources) department, with other administrative duties in the Registration and Licensing, and Finance and Facilities departments.
In addition to the coordination of the front desk and its operations, the Coordinator is responsible for supporting People and Administration programs and priorities including employee on and off boarding and maintaining related files. Other responsibilities include assisting the public, volunteers and AIBC registrants with enquiries, overseeing office supply inventory, and supporting departmental meetings and events.
The ideal candidate for this role is service-oriented and anticipates needs, with excellent interpersonal and intercultural communication skills. They should have exceptional organizational skills and attention to detail, and be resourceful and proactive. The candidate should have excellent computer skills, including experience working with databases, and should identify as a self-starter, be intrinsically motivated, and have well-developed time management skills. The candidate needs to demonstrate honesty, discretion, confidentiality, and professional integrity and an interest in human resources, administration, and contributing to team success. The Coordinator we are looking for should have at least two years of administrative experience in a professional office environment, preferably within a regulatory body or non-profit organization, and previous experience working with the public in a client services role. Basic accounting experience would be considered an asset.
