Working in the Assessment & Taxation Branch as part of the Monthly Payment Plan team, your primary role as the Program Administration Technician will be to enter monthly payment plan information in TACS (Edmonton’s proprietary assessment and taxation system) and maintain all updates and changes to payment information. You will also be responsible for reviewing monthly payment plan application forms, verifying calculations, and validating supporting documents to confirm eligibility for the program.
With a focus on the to Safe, Helpful, Accountable, Integrated and Excellent, you will:
- Review incoming monthly applications to evaluate eligibility for the program including verifying accuracy of calculations, ensuring adequate authorization/documentation is received from corporations, executors or other third parties and monitoring accounts for payments prior to entering into TACS
- Perform calculations to verify the accuracy of payment amounts
- Process changes of banking information, monthly payment amounts and cancellations from the plan
- Research and resolve customer concerns and respond to inquiries received via mail/email and from other customer service centres
- Contact customers by telephone or email to request additional information or payments
- Identify discrepancies in addressing/legal description/ assessed party information to ensure accuracy of billing information
- Maintain auditable documentation and an electronic filing system for monthly payment information, form letters and other correspondence related to the program
- Assist with annual and other tax notice mailouts by packaging multiple notices
- Maintain statistics to track monthly payment plan changes and applications received and processed, to facilitate resource planning, and report performance measures
- Scan documents received by mail and attach applications and other forms in TACS
- Research returned monthly payment mail, redirect where appropriate and update correspondence log
- Perform other related duties as required
Qualifications
- Completion of the 12th school grade including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
- A minimum of 2 years’ progressively responsible general office experience including experience working in a municipal tax office
- Demonstrated ability entering large amounts of alphanumeric data with minimal errors under tight timelines
- Experience in administering application programs, determining eligibility and performing detailed calculations
- Advanced desktop skills including Microsoft Excel and Google Applications with the ability to learn new programs and applications
- Proficiency in POSSE and TACS is an asset
- Knowledge of the monthly payment program guidelines, policies, and procedures
- Excellent verbal and written communication, interpersonal and problem solving skills
- Strong attention to detail and accuracy and ability to multitask competing priorities in a fast paced, high-volume environment
- Demonstrated customer service experience and the ability to deal with clients in a professional and respectful manner

Up to 1 permanent full-time position and up to 1 temporary full-time position for up to 11 months
Hours of Work: 33.75 hours per week; Monday to Friday
The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
Salary: $23.664 – $29.385 (Hourly); $41,690.05 – $51,769.02 (Annually)
