Job title: Project Manager I Research Administration

Job description: The Office of Research Administration (ORA), co-ordinates and manages all aspects of research operations at Unity Health Toronto on behalf of the Research Institute. The Research Institute has approximately 250 appointed researchers. The ORA provides leadership and assistance with research finance, contracts, grant applications (including managing an internal peer review program) and human resources. The ORA works closely with the office of the Vice President of Research and Innovation.

The ORA is currently looking for a Project Manager I. Working closely with the Senior Director of Research Operations and the Manager of Research Administration this position will be leading the project implementation and development for two key projects within the ORA. The first project, in collaboration with HR, is to review all research job descriptions with input from the current job holders and to synthesize the information to provide more current job descriptions. The second project, in collaboration with an external vendor, is to review the current operations and workflows within the ORA in order to improve transaction times and reduce administrative burden on researchers and staff. The Project Manager I will lead these projects as well as execute and action parts of the project plan.

Duties & Responsibilities:

  • Facilitates the project planning, development and implementation process;
  • Ensures appropriate mechanisms are in place for the optimal delivery of projects, including best practices guidelines and tools for the effective management and execution of projects;
  • Prepares project plans, deliverables, schedules and timelines to meet identified goals;
  • Executes and actions parts of the projects as applicable – there are limited resources and thus Project Manager I is intimately involved in executing aspects of the project.
  • Develops and manages communication(s) and other initiatives that will advance project goals and objectives,
  • Ensures appropriate mechanisms are in place to effectively monitor and evaluate project activities, etc.;
  • Utilizes quantitative and qualitative analytical tools to support decision making to advance projects
  • Manages project plans to ensure projects are delivered on time/on budget
  • Work closely with other departments and stakeholders and will set deadlines, assign responsibilities, monitor and summarize progress of projects and prepare status update reports
  • Liaising regularly to provide project status, manage expectations and concerns proactively
  • Coordinate with Hospital departments as appropriate
  • Prepare communications as appropriate to inform stakeholders of status.
  • Participates in required meetings and/or on committees which may have an impact on the projects;
  • Initiates and develops respectful and collaborative working relationships with peers/associates across the Hospitals to foster productive environment;
  • Initiates and develops effective working relationships with external stakeholders as appropriate;
  • Represents the ORA on committees as appropriate

Qualifications:

  • Completion of a recognized Bachelor’s Degree
  • One (1) to two (2) years project management experience (in a health care or research environment an asset)
  • Evidence of working towards project management certification/education an asset
  • Experience in facilitation, collaboration and negotiation with multiple stakeholders/service providers required;
  • Excellent verbal and written communication skills with the ability to communicate information/ideas, in a manner that is easily understood by others required;
  • Excellent problem recognition and problem solving skills required;
  • Very good organizational and time management skills with the ability to deal with situations
  • Very good problem recognition and problem solving skills with the ability to deal with situations where information is difficult to obtain, complex or ambiguous required;
  • Ability to think on your own and pay close attention to detail required;
  • Excellent customer service, interpersonal and listening skills with the ability to effectively interact with staff all levels required;

  • Good presentation and negotiation skills
  • Detail oriented with very good analytical skills related to proposal development/project management required;
