Job Description
As a Property Administration Analyst, you will be responsible for providing assistance to the Property Administrator Manager/Director in conducting his/her mandate in support of the Manulife’s Toronto Regional Office initiatives. You will oversee the administration of a diverse portfolio including offices, industrial and residential properties. This dynamic and fast-paced position requires strong professionalism and tact. On a daily basis, you will support the administrative needs of the department, ensuring support is conducted with a high degree of urgency, confidentiality, judgment and efficiency.
Responsibilities
- Liaise with various teams on all accounting transactions, lease administration activity and financial reporting to ensure that the required information is accurately recorded in the systems and on a timely basis
- Prepare timely reconciliations, investigating and resolving out of balance variances, settlement differences and exception transactions
- Assist and collaborate with property management with the review and analysis of quarterly/annual property packages, including financial statements and regulatory reports
- Assist the leasing team with credit reviews of prospective tenants
- Contribute to the planning process for budgeting and reforecasting of net operational income and capital expenditures consolidation and analysis
- Support the management team with accounts receivable analysis and other head office initiatives
- Prepare allocation of charges (invoices) for various vendors under tight timeless and meet account payables deadlines
- Provide back-up/support to office reception when needed and assist with general office duties
- Work with tax consultants and property management team on tax rebates applications, budgets, and other queries
- Share learning and insight with fellow employees
- Assist with the implementation of processes/system changes
- Provide input and ideas on process improvements
- Support Manager/Director Property Administration in adhoc queries
- Assist Asset Management team with accounting/administrator queries
Qualifications
- Post-secondary degree or diploma required, preferably in Business Administration, Accounting, or Real Estate related
- Two years’ experience in property administration, commercial real estate or real estate property accountant
- Experience with Yardi, SharePoint, Concatenate, Procore is an asset
- Experience with contracts and leasing agreements is an asset
- Strong excel skills with ability to perform various functions such as conditional and statistical formulas, vlookup, and other logical functions
- Possess a positive and curious attitude
- Proven ability to take initiative, exercise sound judgement and anticipate the needs and requirements of the department
- Ability to work independently, manage multiple tasks and set priorities
- Strong oral and written communications skills
- Promote a friendly climate, good morale and cooperation within and beyond the team
- Strong analytical, organizational and planning skills with the ability to multi-task and deal with shifting priorities
