Job description: ADMINISTRATIVE ASSISTANT

WSP is currently looking for a fully bilingual Administrative Assistant for our Montreal, Markham, Calgary or Vancouver offices for the Power Division. Reporting to the Administration National Manager, your role will be to support the activities of the administrative services, including project and proposal support. Your responsibilities will be:

RESPONSIBILITIES

  • Providing active administrative support to the project team;
  • Proposal development experience – Writing, editing and formatting of letters, proposals, deliverables, progress reports, change requests, meeting minutes, etc.;
  • Development of project sheets and various presentations for the people involved;
  • Ensuring the quality assurance/control process is being followed;
  • Documents filing (both handwritten and digital) according to the archiving procedure;
  • Invoicing support, as required;
  • Managing the opening of the different phases of a project and filing of documents, as required;
  • Ensuring the flow of information to the entire project team (distribution team);
  • Organizing business travels as required;
  • You may be called upon to format or use WSP ShareZone project exchange platforms;
  • As an integral part of the project team, you must be aware of all aspects and constraints of the project in order to be able to provide appropriate assistance in all circumstances;
  • Control of the linguistic and stylistic quality of documents as well as their formatting;
  • Actively participate in the development of proposals for professional services by ensuring compliance with the procedures and applicable policies;
  • Update of curriculum vitae;
  • Performing all other related tasks deemed relevant to the Administrative Assistant position.

QUALIFICATIONS

  • Pertinent college diploma or university degree;
  • At least 3 years in proposal development and office support;
  • Excellent communication skills and perfectly fluent in French and English (both written and spoken);
  • Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook);
  • Ability to communicate with other professionals and to follow up with them to obtain the required information;
  • Knowledge of Microsoft Office 365 and SharePoint (an asset);
  • Show initiative and pay attention to details;
  • Teamwork skills;
  • Motivated and dedicated;
  • Ability to work under pressure and to manage priorities;
  • Knowledge of ISO 9001 is an asset.
