Key Accountabilities

  • To support the URS Service Delivery Customer Centre by managing incoming and outgoing Repair deliveries and effectively and efficiently coordinating all supporting activities to ensure on-time delivery and meeting our KPI commitments.
  • Unpack, inspect, and receive equipment being returned to Thales for repair
  • Verify the accuracy of equipment received against information documented in the repair order/RMA
  • Log received items into SAP once validated
  • Load and unload materials to and from designated storage areas, such as racks, shelves, or vehicles, and stack or pile returned items and sort them according to projects
  • Perform all shipping functions and transactions within SAP to ensure on-time service to our customers and vendors
  • Perform the same functions for shipments being sent to Thales’ vendors for third-party repair
  • Assess and determine the fastest and most economical method of transportation to ensure seamless flow for repair orders
  • Arrange for pick-up and ship packed equipment using Couriers or Freight Forwarders, both locally or internationally and track its progress
  • Build relationships with carriers and work with them to negotiate rates in changing market conditions
  • Keep customers/vendors informed about the status of shipments leaving Thales’ facilities
  • Assist internal and external customers with inquiries relative to international shipping, customs requirements, shipment tracing, billing and invoicing questions, and general requests for information
  • Communicate with Customs Brokers and customers to ensure seamless clearance of shipments to prevent unnecessary delays at international border crossings
  • Recognize and resolve shipping documentation discrepancies
  • Inspect repaired items to Thales’ quality standards and issue Certificates of Compliance
  • Pack deliveries for shipment back to customer
  • Transport items that cannot be shipped from Thales’ Moatfield location to the Scarsdale warehouse for skidding
  • Maintain accurate shipment history and audit integrity
  • Investigate issues on Proforma Invoices that may not comply with billing guidelines and make recommendations for resolution, and assist with documentation updates
  • Ability to lift, push, and slide packages that typically weigh up to 70 lbs. on a regular basis

Key Requirements

  • College education or equivalent work experience
  • Minimum 5 years of experience in transportation and logistics
  • 3+ years customer service experience working in a customer support environment for complex HW/SW System
  • Strong organization and time management with ability to independently manage work load
  • A very high level of attention to detail
  • Excellent communication and inter-personal skills
  • Significant experience with data analysis, report writing and business improvement activities
  • Ability to handle time-sensitive and pressure situations
  • Desire to work in a fast-paced, organized, positive team environment
  • In-depth knowledge of general transportation rules and regulations
  • Significant experience working in international trade and with Customs rules, regulations
  • Familiarity in dealing with/managing Couriers, Freight Forwarders, Customs Brokers
  • Strong knowledge of standard computer applications including intermediate skills in Microsoft Excel, Word, and Outlook
  • Significant experience working in ERP (SAP preferably) environment managing procurement, inventory mgmt., sales mgmt.
  • Excellent knowledge of industry and technology
  • Candidate required to demonstrate capability of report writing and data extraction, providing answers, and resolution of routine issues/concerns
  • Good to have: Comprehensive knowledge/experience with Thales products
