The Senior Coordinator, Finance Accounts Payable is responsible for ensuring the accurate entry and timely payment of: Canadian invoices, foreign currency invoices, film distributor shares, concessions and retail vendors, credit card payments, external film programmers, Festival hotel & venues. Along with maintaining an excellent relationship between TIFF and its external stakeholders.
RESPONSIBILITIES:
- Record and process payments for invoices received for Retail and Concessions.
- Record and process payments for Canadian invoices
- Record and process payment of USD invoices as well as other foreign funds invoices via wire transfer
- Record and process payments for film distributors, ensuring amounts match with the Box Office reports.
- Process payments and reconciliations for Hotel and Venue deposits.
- Record and pay recurring contract fees per schedule for Technical and Programming contractors related to Festival contracts.
- Review vendor statements received to confirm that all balances agree with balances in our system.
- Reconcile control accounts such as: Accrual Credit Cards, Deposit Accounts, Postage and AP Sub Ledger, and prepare journal entries as required to reconcile.
- Maintain records and of all seasonal petty cash requested by staff/departments; ensure expense reports and cash balance (if any) are returned on time; complete reconciliation and allocation from petty cash account to expense accounts by JE.
- Download and allocate monthly charges for Bell Mobility – ongoing and Festival phones /PDAs; report and secure authorization from departments for charges monthly. Update phone allocation by staff/department as necessary on advice of IT and relevant department.
- Provide/Supervise the training for Finance interns on a seasonal basis
- Ensuring hard and soft copy documents are filed in accordance with Finance requirements and ensure integrity of annual archiving
- Training new staff on Netsuite purchase order process
- Other duties as assigned
- Track the usage of the corporate credit cards, pulling weekly reports, following up any inconsistencies, and performing monthly reconciliations.
JOB GRADE & SALARY OR RATE OF PAY:
- Job Grade 2
- 50,000-65,000/Annually
Requirements: MINIMUM REQUIREMENTS:
- Diploma in Accounting
- 1-3 years’ experience in Accounts Payable and general accounting
- Strong communication and customer service skills to communicate with multiple levels of in the organization as well as stakeholders
- Excellent organization and time-management skills with the ability to handle several tasks and deadlines.
- Detail Oriented person who can analyze and record data efficiently.
- Collaborative and Teamwork oriented person having to work cross departmentally throughout the organization
- Self-Motivated person who remains open to challenges and always finds ways to deliver your responsibilities in the most effective manner.
- Proficiency in Microsoft Excel, Word and Google Suite
- Adaptable to a flexible work schedule including some evenings and weekends
- This position requires being in office on a regular basis.
