Job title: Senior Information Analyst

Job description: INTRO

The Senior Information Analyst is responsible to support the Information Management (IM) program through the maintenance of existing, and development of new procedures; to develop and deliver Information Management training; to further compliance with the IM programs’ processes; to provide technical and functional support and guidance to employees and contractors in order to ensure that the corporate system of documents and records performs adequately; and to understand business needs, propose and implement improvements to existing processes in order to simplify the processes associated with managing information.

DUTIES

  • Develop detailed understanding of client business process and applicable requirements
  • Identify gaps and/ improvement opportunities, design solutions, obtain approval for changes to the document and records repository’s information architecture and metadata
  • Implement Information Architecture and records management configuration changes
  • Develop and deliver education programs for information management processes and tools to ensure IM requirements and processes are understood by users, and compliance is maintained
  • Oversee the documents and records repository’s information architecture and metadata, implement changes as required by the evolution of the business and/ or requirements
  • Provide functional technical support to the company’s document and records repository, troubleshooting user access, workflow and other system usability issues
  • Manages user access to the Records repository, setting up and modifying user permissions and release codes throughout the EDRMS
  • Monitors trends, identifies challenges, analyses and solves problems using standard policies, procedures, modifications of standard procedures or previously developed methods.
  • Develop documentation internal to IM and assist the development of company-wide documentation to ensure compliance with IM requirement
  • Provide estimates for, plan and run small IM projects
  • Develop thorough understanding of applicable external legislative and legal requirements (Treasury Board policies, Library and Archives Canada Act, CNSC policies, records and Information Management principles, IAEA and CSA N286 Standards, among others)
  • Provides reports, briefing notes and/or summaries pertaining to information management breaches or inappropriate disclosures

WORKING CONDITIONS

  • Work at a computer for extended periods of time
  • Visual concentration is required for researching information, developing/maintaining information management policies etc.
  • May be required to move and lift boxes of hardcopy records (up to 40lbs.)
  • Mental and visual concentration is required for analysis of client requirements, troubleshooting, solving technical problems, report writing and proof reading of materials, updating user access accounts and managing user profiles

QUALIFICATIONS

Education

  • Certification Information/ Records Management/ business analysis/ process management, or demonstrated equivalent acquired through working experience
  • Document Control Certification an asset

Experience

  • Minimum of 5 years of cumulative practical experience in Records and Information Management
  • Minimum of 2 years working knowledge of Open Text Content Suite or comparable EDRMS technology

Abilities and Skills

  • Demonstrated skills in process mapping, developing taxonomies and analysis of Information Management processes
  • Independently develops project plans including cost, time and resource estimates to address information management issues for the assigned project
  • Ability to quickly assess and re-prioritize tasks based on shifting priorities
  • Ability to manage one’s time effectively
  • Ability to explain technical issues in plain business language
  • General awareness and application of project management principles
  • Demonstrated analytical, evaluative and interpretive skills to determine alternative solutions
  • Demonstrated time-management, problem-solving and organizational skills
  • Demonstrated assertiveness, tact and discretion
