Reporting to the Manager Workplace Technology and Services, the Technology Refresh Program (TRP) Site Lead is responsible for leading the TRP for VCH, PHSA and PHC (VPP) and Lower Mainland Consolidation (LMC) focusing on VPP’s contractual requirements related to its Service Providers and ensuring alignment with the strategic direction of IMITS Senior Leadership as provided by the Manager Workplace Technology and Services.

The TRP Site Lead will lead TRP Planning and Delivery Team to fulfill their core responsibilities. It includes ensuring high quality, continuously improved service delivery by interpreting the appropriate TRP / service contracts. It also includes engaging clients and Service Providers during TRP to fulfill service delivery requirements including obtaining and reporting on the quality of service delivery, and forecasting services as input for TRP capacity and service planning under the direction of Manager Workplace Technology and Services. The Lead will commit to and pursue continuous quality improvement according to Customer Service industry best practices.

What you’ll do

  • Supervise the TRP Planning and Delivery Team under the direction of the Manager Workplace Technology and Services including delegating tasks and providing direction to team members; monitoring performance; and managing conflicts.
  • Lead operational activities for the TRP Planning and Delivery Team and collaborate with various IMITS teams, Service Providers and external resources to ensure holistic end-to-end delivery of TRP services to the client. This includes conducting project and change management activities; developing and implementing plans; providing status reports to the Manager Workplace Technology and Services; chairing team meetings; recommending and monitoring budgets; and recommending annual goals and objectives for the area of responsibility; ensuring consistency with department strategies, objectives, goals and plans.
  • Lead input gathering, forecasting, consultation, and service planning of TRP services by working closely with the client, IMITS teams and Service Providers to fulfill the client’s TRP needs. Submit the TRP service delivery plan including the 90-day forecast to the Manager Workplace Technology and Services for review and approval.
  • Manage Health Authority responsibilities and program-related activities throughout all stages of the TRP upgrade cycle which includes resource assignment; chairing status meetings; verifying completion of any necessary workstation orientation; and supervising the deployment and removal of desktop workstations.
  • Engage clients and maintain ongoing communication; provide issue resolution support; and manage client and stakeholder expectations under the direction of Manager Workplace Technology and Services.
  • Lead the development and maintenance of formalized process documentation and standard operating procedures that add further insight and depth of knowledge to the solution area as well as other supporting documentation including but not limited to briefing notes and business cases.
  • Support the development and implementation of policies and standards related to TRP.
  • Participate in governance meetings, advisory groups, special task forums, and strategic planning sessions, providing independent strategic business and change management advice under the direction of Manager Workplace Technology and Services.
  • Perform other related duties as required.

What you bring

  • A level of education, training and experience equivalent to a degree in information technology or related discipline. One or more certifications such as ITIL and Certified Associate in Project Management. Five (5) to seven (7) years of recent related experience with IT disciplines from an enterprise environment in a large, complex, multi-site organization. And a minimum of three (3) years of experience leading projects or cross-functional project teams or similar supervisory experience.
  • Demonstrated experience in project management or leading project teams under the direction of a senior project manager.
  • Excellent tracking, scheduling, project coordination, and client engagement skills.
  • Excellent organizational and time management skills.
  • Demonstrated experience in exercising strong written and oral communication and interpersonal skills to effectively relate to a diverse group of stakeholders.
  • Demonstrated experience in adhering to standardized procedures as well as strong process orientation.
  • Excellent demonstrated issue management, business analysis, and critical problem solving skills.
  • Demonstrated experience in collaborating with diverse stakeholders, focusing on clients, and working in a cross-functional environment.
  • Prior experience in project management and change management.
  • Experience with MS Office with a focus on Excel as well as inventory management applications (e.g. Dashworks, Lansweeper, Ziften, etc.).
