Position Summary
The Administrative Assistant’s primary responsibility is to provide administrative support while offering exceptional service to all internal and external customers. Collaborating with local leadership the Administrative Assistant will assist with the operation of the location through liaising and assisting various FBN stakeholders.
Responsibilities
- Provide administrative support to logistics team in the areas of inventory management records, carrier management, correspondence, documentation and troubleshooting.
- Respond to general inquiries and or refer to appropriate representatives
- Receive and direct incoming calls in a friendly and professional manner
- Photocopy, fax and maintain central filing systems and administration files
- Administer inventory and transportation documents in NetSuite and TMS and WMS
- Receive, date stamp and prioritize incoming mail as well as arrange for all outgoing mail and courier deliveries
- Assists warehouse staff with proper documentation (ensuring that drivers obtain necessary approvals, signatures and paperwork)
- Prepare presentations, reports, documents and communications/correspondence
- Monitor inventory of office supplies and place orders when needed
- Assist in the preparation and creation of emergency response plans, manuals, reports and forms for location
- Maintains employee training, certifications, and fleet documents to ensure proper documentation
- Organize meetings social events and maintain calendars/schedules where required
- Other duties/projects as assigned
Qualifications
- Minimum High School Diploma
- 3-5 years’ experience in Office Administration preferred
- Experience in agriculture or logistics warehousing an asset
- Passionate about agriculture, farming and desire to put Farmers First®
- Comfortable working in a fast-paced start-up environment
- Excellent customer service skills
- Ability to multitask
- Organizational skills
- Team player
- Strong computer skills, particularly with Google Suite (Gmail, Calendar, Docs, Slides), with the ability to learn new software quickly
- Strong verbal and written communication skills
- Occasional travel (less than ~5% of the time)
